Check that the topic is ready
An asynchronous consultation works best when the necessary context can be shared without a lengthy explanation. Before sending a link, state the proposal, what remains open and when a conclusion is needed. If the group still needs to explore the problem or reconcile conflicting information, a deeper discussion may be better. Avoiding a meeting should not mean avoiding a difficult question.
Write a proposal people can examine
A MinuteVibe prompt is limited to 60 words and can include a 12-word question. Use the limit to clarify a next step, not to compress an entire dossier. Keep essential supporting material in your reference tool when it exceeds this format. Recipients should know what their signal refers to without guessing your intention.
Example of a short consultation
“We propose presenting the mockup on Thursday at 2 pm. The slides are ready and the client is available. Please flag any obstacle before 5 pm.” The proposal concerns one specific step. A designated person then reviews objections and confirms the slot in the usual tool.
Read the signals, then conclude
Aligned, Blocked and Neutral describe a position on the proposal. The overview covers received responses, not guaranteed participation by the whole team. A relevant blocker may need clarification even when most responses agree. Silence is not agreement. Choose a duration suited to people’s availability, then state the conclusion and who owns it.
When to use another form of discussion
Complex negotiations, critical emergencies and decisions requiring formal approval cannot be reduced to three signals. MinuteVibe is neither an election system nor a signature. If the decision will matter later, record its conclusion and reasons in your reference tool before closing the consultation.
